How to Address an Envelope
A clear address helps automated equipment read the envelope. Use complete delivery information, consistent lines, dark ink, and enough blank space around the address and postage.
Basic Layout
| Area | Information |
|---|---|
| Upper left | Sender name and return address |
| Center | Recipient name, delivery address, city, state, ZIP Code |
| Upper right | Correct postage |
Domestic Example
JORDAN LEE
425 OAK ST APT 7
DENVER CO 80203
Put an apartment, suite, or unit on the delivery-address line when it fits. Spell the street and city correctly, use the standard two-letter state abbreviation, and include the ZIP Code. Avoid punctuation and decorative fonts if they make the address harder to read.
Final Check
- Confirm the recipient and unit number.
- Keep the address away from graphics and the envelope edge.
- Seal the envelope and check its final weight and shape.
- Apply postage flat in the upper-right corner.
- Use international formatting and country names for mail sent abroad.
When the Recipient Has Moved
Correct addressing reduces avoidable errors, but forwarding is only a transition service. Review how long mail forwarding generally lasts and update important senders directly.
Once the envelope is addressed and fully assembled, determine the required postage before reviewing the current stamp selection.
Sources and Scope
Address format does not determine the postage category; also check the finished envelope.
